Connecting Machine-Health Alerts to Maintenance Work Orders
Convert reviewed condition alerts into owned maintenance tasks with evidence and feedback.
A dashboard alert is not yet a maintenance process. Integration should help staff review the evidence, assign work and record what they found without creating duplicate tasks.
Map assets and responsibility
Use the maintenance system’s asset identifiers and confirm hierarchy, location and responsible team. A sensor nickname is not a reliable substitute for the equipment register. Define which alerts create a review request and which may create a work order directly. Keep priority rules aligned with the organisation’s maintenance process.
Include the evidence for inspection
Attach the condition, event time, relevant trend window and recommended inspection context. Separate confirmed facts from suspected causes. Link to supporting data with suitable access controls instead of copying large uncontrolled files. The technician should know what changed, where to inspect and which observations would confirm or reject the concern.
Prevent duplicates and lost updates
Maintain a stable event-to-work-order relationship. Repeated alarms for the same active issue should update the existing case when appropriate. Handle API timeouts by checking transaction status before retrying. Decide how acknowledgement, assignment, cancellation and closure are synchronised, and which system owns each field.
Close the feedback loop
Record inspection findings, actual fault, action taken and relevant before/after measurements. Do not automatically label every alert followed by a repair as a correct diagnosis. Review unconfirmed and dismissed alerts as well. This feedback supports better rules and lets managers distinguish a busy notification system from a useful maintenance programme.
FAQ
Should every sensor alert create a work order?
No. Use severity, persistence and review rules so the maintenance queue contains actionable tasks.
