How to Prepare a PCB Design Specification

Write a practical PCB brief covering power, I/O, mechanics, firmware, testing and handover.

A useful specification turns an idea into requirements that can be reviewed and tested. Start with what the board must do and the conditions in which it must work. Component preferences come later unless compatibility or supply constraints make them mandatory.

Describe the system boundary

State the application, users and equipment connected to the board. Draw a block diagram showing sensors, power supplies, controllers, communications and loads. Identify which parts already exist and which the designer must provide. For a pump monitor, distinguish measuring pump status from commanding the pump; the second requirement introduces different interface, fault and safety considerations.

Create a power and interface schedule

For every connector, record pin count, signal direction, voltage range, expected current, cable length and the external device model. Specify nominal and allowable input voltage, peak load and behaviour during supply interruption. An entry such as “analogue input” is incomplete: identify whether it is voltage, current loop or another signal, together with range, accuracy target and isolation needs.

Specify mechanical and environmental limits

Provide enclosure drawings, mounting-hole positions, connector access and height limits. State indoor or outdoor use, operating temperature, moisture exposure, vibration and service access. Do not assume a waterproof enclosure solves condensation, heat dissipation or cable-entry problems. Mark dimensions as fixed or negotiable, and name the person who approves the mechanical fit before fabrication.

Define behaviour, not only components

Describe startup, normal operation, communication loss, watchdog recovery and invalid sensor readings. List settings that users can change and which must survive a power cycle. If remote updates are required, define authentication, failed-update recovery and version reporting. Record the division of responsibility between PCB design, embedded firmware, mobile applications and cloud software so that no required function is left unassigned.

Write acceptance tests alongside requirements

Use a requirement ID, test method, conditions and pass criterion. For example: an illustrative logging requirement might say “record each channel every 60 seconds, retain timestamps during a two-hour network outage, then upload without duplicate records.” Replace these example values with your operating needs. Avoid vague words such as reliable, fast or accurate without a way to demonstrate them.

Control versions and deliverables

Finish the brief with quantities, target milestones, file formats, manufacturing outputs and test documentation. Keep assumptions and unresolved questions in a separate list with an owner and decision date. Approve a numbered specification revision before layout begins. Later changes should identify their effect on cost, schedule and tests rather than being hidden in informal messages.
