AI Assistants
Connecting a Chatbot to Stock, Order and Service-Ticket Systems
Plan authenticated lookups, controlled actions and reliable transaction reporting for business assistants.
A connected chatbot becomes a software interface to business records. Its permissions, data freshness and failure handling need the same care as any customer-facing application.
Define the smallest useful operation
Start with a specific lookup such as an authenticated customer’s order status. Specify the source system, fields returned and acceptable age. Availability, reserved stock and promise-to-deliver dates are different concepts. Label them clearly so the assistant does not turn a warehouse quantity into an unconditional delivery commitment.
Enforce permissions outside the model
The backend must verify identity and ownership for every record request. Do not trust an order number alone as proof of access. Expose narrow tools rather than unrestricted database queries. Treat instructions embedded in retrieved records as data, and prevent them from changing the assistant’s permissions or destinations.
Separate reads from changes
For ticket creation or an approved order change, show the proposed action before submission. Use a transaction identifier to prevent repeated retries from creating duplicates. Report success only when the source system confirms it. If the result is uncertain after a timeout, reconcile the transaction before submitting it again.
Test with controlled business records
Use test accounts covering empty stock, cancelled orders, permission denial and unavailable services. Check that timeouts produce an honest unavailable response rather than invented values. Document API ownership, credential rotation and support contacts. Retain enough audit information to investigate actions without logging unnecessary private data.
FAQ
Should the chatbot have direct database access?
Prefer a controlled application API that validates the user, limits fields and records permitted operations.
